Check a statement conversion before using the spreadsheet

Extract, then compare with the source

A bank statement is a formatted document, not a spreadsheet. Text extraction and OCR can confuse columns, decimal points or dates. After converting, compare the transaction rows with the original page preview. The source link for a row helps you locate its evidence.

A simple balance check

For an account whose debits reduce the balance and credits increase it, the next balance should equal the previous balance minus debit plus credit. In the synthetic example, 33,000.00 minus 500.00 is 32,500.00. The printed 32,499.00 differs by 1.00, and the tool flags it. This arithmetic check helps find inconsistencies; it does not identify their cause.

Supply the right context

If the opening balance is missing, enter it in More options. Select Oldest first or Newest first to match the statement. Without a previous balance, the first relevant check remains unchecked. An invalid opening balance must be corrected before interpreting the reconciliation.

Handle unusual layouts and scans

Use Column positions when a bank places debit, credit or balance values differently. English OCR can read scanned pages but may misread characters. Review flagged dates, ambiguous amounts and unparsed lines. Edit incorrect values against the source and check the totals again.

A matched balance is only one check

A conversion can miss a row or read a description incorrectly even when available balances match. Check row coverage, totals, dates and the closing balance against the original. Files and PDF passwords are processed on your device. Use the downloaded audit report when you need a record of the checks.
